Guidelines for institutions and organisations bidding to host an
STMS World Congress or STMS Regional Conference
1. Annual STMS World Congress
a. Annual STMS World Congress, and may be held in conjunction with other tennis organisations (ATP/WTA/ITF) based on their availability and interest. Combined or parallel sessions with other organisations during this conference are encouraged.
b. Conference submissions (bids) for approval should be submitted no later than twelve months (and as early as twenty four months) in advance of the proposed Congress to allow time for approval, advertisement, modifications, and recruitment of research and speakers.
c. Conference submissions (bids) will be returned no later than 30 days after submission
2. STMS Regional Conference (e.g. STMS North American Regional Conference)
a. STMS Regional conference may be held annually in any of the following regions (North American, European, or South American, or that predetermined by Board based on submissions.
- Other regions may host pending approval by Board
b. Regional conference may be held in conjunction with other appropriate organizations, pending approval by Board
c. Conference submissions should be submitted 12 months (and as early as twenty four months) prior to date of conference to allow time for advertisement, modifications and recruitment of research and speakers.
d. Conference submissions (bids) will be returned no later than 30 days after submission
3. Conference Submissions (Bids)
a. Bids will only be accepted from active STMS member(s)
- Personnel nominated for the organizing committee and members of the Scientific Programme Committee should be clearly listed.
b. The bid should provide a rationale for the hosting of the event. This should include a description of the strengths of the organising institution and the facilities to be used. It should be signed by the Vice Chancellor, Rector or Principal of the University/Institution or Head of Faculty concerned and the promoter/organizer of the event or location.
c. The bid should include proposed budget and business plan indicating financial ‘break even’ numbers for delegates, and
sources of income (including cost for registrants)
- An Emergency Plan” for Budget is suggested in the unlikely event of unforeseen loss of internal or commercial support as well as low registration.
d. Registration rate should be consistent with previous rates of corresponding World Congress or Regional Conference with
following stipulations:
- There is a discounted Member rate
ii.Non-member rate should be at least equivalent to price of one year initial membership to STMS and the registration for the conference. The money difference between member and non-member rate should be provided to the STMS as payment for the membership dues for the individual
e. The bid should include outline of format, theme/potential content, possible speakers
- Should afford opportunity for participation of personnel with research interests in tennis medicine and science (e.g. free papers
- Should make reasonable attempt to obtain some speakers from STMS membership
- Should offer CME (Continuing Medical Education) and/or CEU (Continuing Education Units) for physicians, physiotherapists, athletic trainers, and allied health professionals.
- Program content will be coordinated with (but not determined by) STMS scientific committee
f. Should include specific dates (including length of meeting), location, and any conjunction with other organizations as
well as any tennis events.
g. Arrangements for publication of the Conference Proceedings in conjunction with STMS should be expected.
h. Supplementary material may also be included to support bid/application such as tennis event/venue, faculty or
meeting dinner/reception, and additional educational or tennis-related opportunities.
